How PropTrak's AI Works
TrakCore is PropTrak's AI layer. It's a self-hosted system: a router model and a planner model that work together to handle requests, plus a separate vision model — purposefully designed to accurately read maintenance photos — that suggests a category and priority on maintenance requests. Every action it proposes — drafting a charge, assigning a work order, flagging a lease renewal — goes through a confirmation step and is logged before anything happens.
We run these models ourselves rather than sending your data to a third-party AI vendor. That's a deliberate choice: your data stays inside our infrastructure, actions stay reviewable, and nothing acts autonomously on your portfolio without a human in the loop.

Where is my data stored?
Customer data and PropTrak's AI inference both run on U.S.-based infrastructure. We keep everything U.S.-based to maintain strict control over where your data resides.
Who can access my models or reports?
Only users within your organization who have been granted appropriate permissions can access your data, models, or reports. Access is controlled using role-based permissions and multi-factor authentication. Aletheia staff cannot access your private data or outputs unless you grant explicit, temporary access for support or audit purposes.
How do I request data deletion or export?
You can request a full export or permanent deletion of your data at any time by contacting our privacy team (privacy@proptrak.ai) or your account administrator. We support JSON, CSV, and PDF export formats and follow deletion protocols aligned with CCPA and GDPR principles.
Can I audit AI decisions?
Yes. TrakCore logs every AI decision made on your data, including the input, which model handled it, confidence level, output, and any fallback or human override. You can request a full explainability report for specific actions or workflows at any time through your admin dashboard or support team.
